Trulife were looking for a trusted, third-party IT partner to provide a help desk function offering support for the network, servers, PC’s and also to provide procurement, advice and risk management for the IT operations of the business.

Trulife is owned and managed by a group of highly professional and experienced healthcare executives since 1987. Trulife is internationally based and totally engaged in the creation, development, manufacture and marketing of niche healthcare products. The group activities encompass Orthopaedics, Breastcare, Prosthetics and Pressurecare products and services.

Challenge

Trulife Limited (Trulife) was looking for a trusted, third party IT service partner, to provide a help desk function offering support for the network, servers, PC’s and also to provide procurement, advice and risk management for the IT operations of the business.

Solution

BCN Group were delighted to be chosen as the trusted IT service partner for Trulife offering services such as:

  • A service desk via email and phone for all Trulife staff using BCN Group’s ticketing system for first, second and third line support for incident and problem resolution as well as on site engineers when required.
  • Advice and assistance for third party contract management as and when required by Trulife.
  • Regular maintenance and upgrade activities as well as implementing automated monitoring of servers and task to remove the need for manual activity.
  • Procurement of hardware, software and third party providers to be sourced by BCN Group working closely with Trulife for final approval.
  • Review of existing documentation and Policies, Standards, Procedures and Guidelines (PSPG’s) and will put in place appropriate procedures to maintain, update and create new PSPG’s as and when required.
  • Documented detailed reports of activities including incidents, requests, risks, projects and other IT related information, reviewed via regular face to face meetings between BCN Group and Trulife’s Technical Account Managers.

Result

Trulife Limited (Trulife) now has BCN Group as its IT service partner, providing a help desk and giving networking support. We also support the servers, PC’s and provide procurement advice and risk management for the IT operations of the business when necessary.

Their bespoke intranet

  • Developed with 6 team sites and dedicated site for holding projects.
  • All sites where created with the Transport Focus branding and were responsive across all mobile devices.
  • Final solution enabled news to be delivered to all users across multiple sites using tagging functionality.
  • Provided a secure area for each department to create multiple public and private document libraries

Following the delivery of the final solution a SharePoint migration was performed using Polymorph’s preferred migration tool ‘Sharegate’. The migration transferred multiple document libraries from the SharePoint 2010 environment to the new intranet, separating each document library by department. The migration also transferred all existing projects to the new environment tagging them with the relevant metadata.

Over 430GB of email data and 100 mailboxes were migrated from Exchange to Office 365 using Microsoft’s in-built “cut over” migrating method.

Training sessions were held for end users and power users across the client’s London and Manchester sites. These sessions provided users with the knowledge to create news, manage documents, create new projects and run the intranet day-to-day.

Result

  • Microsoft Office 365 has simplified remote access; automatic updates are now seamless and easy to manage; security features are more efficient and the cost of maintenance has reduced significantly.
  • SharePoint Online now provides a better platform for communication and collaboration throughout the organisation.
  • A new corporate directory has made it easy to search for employee contact details. Previously this feature had become unusable. The corporate directory is synchronised from Active Directory ensuring the results are always up to date and relevant.
  • It is now easier for Transport Focus to have clear visibility of projects and archive any projects that are completed.
  • SharePoint Online provides a more extensive and powerful search latform making it easier for end users to find and identify documents.
